Web Faxing
Overview
Web Faxing allows you to send, receive, and manage faxes directly from your internet browser — no physical fax machine required. Compared to traditional analog fax, Web Faxing is easier to use, more secure, and gives you the ability to receive faxes in your email inbox and re-download past faxes at any time.
Setting Web Faxing Permissions
Web Faxing permissions are controlled on a per-line basis. Each fax line has its own user access list, so if you have multiple fax lines, each one is managed independently. If no permissions are configured, all users will have access to Web Faxing by default.
In the Sharpen portal, navigate to Admin > Configurations > Inbound Routes.
Find the fax line you want to modify and click the edit icon to the right.
In the Fax Users section, locate the Unselected Users box on the left. This lists all users in your organization.
Click a user to move them to the Selected Users box on the right. Selected Users will have access to send, receive, and download faxes on this line.
Once the correct users are in the Selected Users box, click Save.
Navigate to Admin > Settings > Contact Information.
Find the Fax Permissions drop-down on the right and set it to Enabled.
Click Save.
Configuring Fax to Email
Fax to Email delivers incoming faxes directly to an email inbox. This is a per-line setting — each fax line you want to use this feature with must be configured separately.
In the Sharpen portal, navigate to Admin > Configurations > Inbound Routes.
Find the fax line you want to modify and click the edit icon to the right.
Scroll to the Routing Options section at the bottom of the page.
Change the Routing Options drop-down to Fax to Email.
A new Fax to Email field will appear. Enter the email address that should receive incoming faxes.
Click Save.
Tip: Sharpen recommends sending two test faxes after configuring Fax to Email to confirm delivery is working as expected.
Sending a Fax
In the Sharpen portal, navigate to End User > Applications > Web Faxing.
Note: If Web Faxing does not appear in your menu, you do not have permission to access it. Contact your administrator.
In the Send Fax section on the lower left, select a Source Number — this is the number that will be displayed to the recipient.
Enter the Destination Number in 10-digit format with no spaces, dashes, or special characters (for example,
8005554444).Click Choose File and select the PDF you want to send. Web Faxing supports PDF files only.
Review all details, then click Send.
Viewing and Downloading Received Faxes
In the Sharpen portal, navigate to End User > Applications > Web Faxing.
Use the filter options at the top of the page to narrow your results, or scroll to the All Faxes section in the lower center of the page to see every fax you have sent or received.
Click the download button to the right of any fax to view or save it.
