Faxing

Advantages of Web Faxing

There are several advantages when it comes to using Web Faxing compared to a traditional analog fax service. 

  • It is an easy to use application, right in your internet browser. 

  • You gain the option to receive faxes directly in your email inbox.

  • Users are able to re-download past faxes, you’ll never lose your faxes. 

  • It is more secure than traditional faxing and just as reliable. 


Setting Web Faxing Permissions

As an administrator, you may control who has access to Web Faxing. These permissions are controlled on a per-line basis, meaning each fax line (if you have multiple fax lines) has its’ own user access list. You can elect to skip this section and have no permissions set, in which case all users will have access to Web Faxing by default. 

  • From the Sharpen portal, choose Admin on the upper left, then mouse over Configurations in the center of the page and choose Inbound Routes.

  • Find the fax line that you want to modify and click the edit symbol to the right. 

  • Under the Fax Users section, look for the box on the left labeled Unselected Users. This lists all the users at your company. Clicking a user will move it to the right box called Selected Users

  • Selected Users will have access to send, receive and download past faxes that utilize the fax line you are currently editing. 

  • Once you have the desired users showing up in the Selected Users box, click Save near the bottom left of the page. 

  • At the top center of the page, to the right of Configurations mouse over Settings and choose Contact Information.

  • Find the drop down on the right labeled Fax Permissions and ensure this is set to Enabled.

  • Click Save on the lower right.


Configuring Fax to Email

If you want faxes to come straight to your email, you can turn on Fax to Email. This is a per-line setting, meaning each fax line that you wish to utilize this feature with will need to be modified. 

  • From the Sharpen portal, choose Admin on the upper left, then mouse over Configurations in the center of the page and choose Inbound Routes.

  • Find the fax line that you want to modify and click the edit symbol to the right. 

  • Scroll down to the bottom of the page and look for Routing Options

  • Change the Routing Options drop-down box to Fax to Email.

  • A new field will appear called Fax to Email, enter the email address that you want to receive faxes. 

  • Click Save once your email is entered correctly.  

  • Sharpen recommends sending two test faxes to ensure Fax to Email is working as desired.


Sending and Receiving Faxes with Web Fax

From the Sharpen portal, choose End User on the upper left, then mouse over Applications in the center of the page and choose Web Faxing. If you do not see Web Faxing, it means you do not have permission, contact your administrator.

To send a fax:

  • On the lower left, look for the Send Fax section.

  • Choose a Source Number. This is the number that will be displayed to the person receiving your fax.

  • Enter your Destination Number in ten digit form with no formatting (meaning no dashes, hyphens, spaces or periods), such as 8005554444. This is the number that will receive your fax.

  • Click Choose file and select the PDF that you want to send as a fax. Note that you can only send PDFs through Web Faxing. 

  • Double check all the information you entered, then hit Send. 


To view or download a received fax: 

  • At the top of the page you have numerous filter options, you may utilize them to narrow down your search. 

  • Alternatively, you may look in the lower center of the page for the All Faxes section. This will be a list of every fax you have sent or received.

  • Click the green download button on the right to download / view a fax of your choice.
