Voicemail Setup and Use

Voicemail (VM) is an essential part of any telephony system, allowing you to receive and listen to recorded messages from other callers. Sharpen recommends that you:

  • Keep your voicemail greeting brief and up-to-date.

  • Let callers know what information you need to get back in touch with them efficiently.

  • Download important voicemails for safekeeping, and keep your voicemail inbox clear.

All users with an assigned extension have access to setup, customize and manage their voicemail. 

The following steps also apply to Voicemail Broadcast configurations. Simply use the extension of the configured broadcast in the steps below.

Setting up and customizing your voicemail

To setup your voicemail, you will need to use a desk phone on the Sharpen network, the Sharpen Connect phone via your internet browser, or an Inbound Route routing to ‘Remote Voicemail Access'. 

To record an unavailable message: 
This is the message which will play when your extension is attempted and the ring timeout is met.

  • Dial *98 to access the voicemail system. 

  • Enter your extension number if asked, and password (the default is 0-0-0-0).

  • Press 0 to access the mailbox options.

  • Press 1 to record your message and press # when finished. 

  • To check the recording, press 2 to playback the recording. 

  • Press 3 to re-record your message if needed.

  • Once satisfied, press 1 to accept and save the recording. 

To record a busy message: 
This is the message a caller will hear if you are on the phone and do not answer, your phone is in Do Not Disturb mode, or you've chosen to reject the call

  • Dial *98 to access the voicemail system. 

  • Enter your extension number if asked, and password (the default is 0-0-0-0).

  • Press 0 to access the mailbox options.

  • Press 2 to record a busy message.

  • To check the recording, press 2 to playback the recording. 

  • Press 3 to re-record your message if needed.

  • Once satisfied, press 1 to accept and save the recording. 

To change your voicemail password from a phone:

  • ​Dial *98 to access the voicemail system. 

  • Enter your extension number if asked, and password (the default is 0-0-0-0).

  • Press 0 to access the mailbox options.

  • Press 5 to change the password.

  • Enter your new four digit pin and press #

To change your voicemail password from your internet browser:

  • Within Google Chrome, navigate to app.sharpencx.com or app.iz1.sharpen.cx (your admin will let you know which link applies to your organization), and log in with your Sharpen credentials or Single Sign-On.

  • Near the top center of the page, click Settings.

  • Scroll down to Voicemail to Email Settings and enter your desired PIN in the field labeled 4-digit PIN.

  • Confirm your PIN by re-entering it in the box directly below the previous one. 

  • Scroll down and click the blue Save button.

  • Dial *98 to access the voicemail system. 

  • Enter your extension number if asked, and password (the default is 0-0-0-0).

  • Press 0 to access the mailbox options.

    • Press 1 to record unavailable message

    • Press 2 to record busy message

    • Press 3 to record name

    • Press 4 to setup temporary greeting

      • To remove a previously recorded Temporary Greeting, press 2 once in the Temporary Greeting Menu

    • Press 5 to change password

  • Press 2 to change folders

  • Press 3 for advanced options

  • Press * for help

  • Press # to exit

Note that a temporary greeting overrides the normal unavailable and busy greetings as long as it is active

Enabling voicemail to email

Voicemail to email allows you to receive an email from Sharpen whenever you have a new voicemail. The email will contain some basic information about the call, as well as an MP3 recording of the voicemail. To enable this feature: 

  • Navigate to app.iz0.sharpencx.com for IZ0, or app.iz1.sharpencx.com for IZ1, and log in with your Sharpen credentials or Single Sign-On.

  • Navigate to End User portion of the menu (Left Side), then click Settings (Center of Screen)

  • Scroll down to Voicemail to Email Settings and enter your email in the Email Address field. 

    • You may also enter a distribution list, so voicemails can be shared if this user is non-specific.

      You will now receive email notifications when you have a new voicemail. 

Listening to voicemails 

There are three ways to listen to your voicemails: Dialing in by phone, listening to the MP3s sent by the Voicemail to Email feature and playing them through the Sharpen portal or Sharpen Connect via your internet browser.

To access your voicemails by phone:

  • Dial *98 to access the voicemail system. 

  • Enter your extension number if asked, and password (the default is 0-0-0-0).

  • If you have new messages, follow the prompts to listen to them. 

To access your voicemails via the MP3s you are emailed:

  • Confirm the email that Sharpen has on file for the Voicemail to Email feature. 

  • Login to your email and look for the email from Sharpen. 

  • Download and play the MP3 attachment.

To access your voicemails through your internet browser

  • Navigate to app.sharpencx.com or app.iz1.sharpen.cx (your admin will let you know which link applies to your organization), and log in with your Sharpen credentials or Single Sign-On.

  • On the upper left, ensure you are on End User

  • Look to the lower right of the window for My Voicemail

  • You can listen to your voicemails by clicking the speaker icon.

Deleting voicemails

While you can always delete emails by dialing into the voicemail system, and following the deletion prompts, the fastest way to is through the Sharpen portal. 

  • Navigate to app.sharpencx.com or app.iz1.sharpen.cx (your admin will let you know which link applies to your organization), and log in with your Sharpen credentials or Single Sign-On.

  • On the upper left, ensure you are on End User

  • Look to the lower right of the window for My Voicemail

  • Click the edit symbol, choose which voicemails you want to delete, and delete them via the trash can icon. 

  • You may delete up to 25 voicemails at a time using this method. 

  • Please note that once you delete a voicemail it will no longer be available on the portal, or via the phone.
