Data Management

With the exception of Desktop Recordings (more on that in a minute), Sharpen stores your interaction data for 18 months at no cost. However, this page allows you to adjust Default (global) or set custom retention policies in order to securely delete data after a given time frame (whether that is greater than 18 months or less than 18 months).

Set up a new data management job by clicking the Add New button and entering in the information below. You’ll also be able to modify this data management job later via the edit button.

Job Name

The friendly name you’d like to associate to your data management job.

Scope

Desktop Recordings: Only deletes desktop recordings. All other interaction information remains (e.g. if you wanted to keep audio recordings but purge desktop recordings after X days).

Transcriptions: Only deletes transcription data. All other information remains.

Audio Recordings: Only deletes audio recordings, preserving interaction data.

Logic Summary Records:

Logic Detail Records: Deletes panel-specific, Logic+ data

Sources

Choose the specific queues where you’d like apply this data management job. Select all queues to create a global job.

Note: Once a job is set to global, it will apply to queues created after the job is saved as well — you don’t need to come back and reselect queues each time.

Retention

Set the number of days you’d like to retain the specified data from the “Scope” section. You’ll need to pick a number greater than or equal to 45 days.

Once you’ve filled in the required fields, click the save icon to confirm and save your job.

Keep in mind that while you can update/delete these data management jobs, deleting the data is permanent, (and Sharpen is not able to retrieve your data) so take extra care to review the confirmation screen before saving and continuing your job. We would always recommend applying a data job to a test queue before setting a Global Job that may result in data loss).

When you have multiple jobs, the shortest retention period will apply. (e.g. If a global job of 365 days is configured and a queue-specific job of 90 days is configured, the 90 day job will apply.

When in doubt, please contact our services team – we are more than happy to help walk through this with you before.
