Polycom Automatic Provisioning
Overview
This article provides the steps to configure a Polycom phone to automatically connect to and provision from the Sharpen platform. Automatic provisioning simplifies device setup by pulling configuration directly from Sharpen's provisioning server, including extension settings and company directories.
Important: If a Polycom phone has previously been manually configured, automatic provisioning will not overwrite all existing settings. A full factory reset is strongly recommended before setting up automatic provisioning for the first time.
If you are setting up provisioning for the first time or on a new network, contact the Sharpen Care team at http://support.sharpencx.com before proceeding. Provisioning will not succeed until the necessary pre-configuration steps have been completed by the Sharpen team for your network.
Pre-Setup Requirements
Before beginning, confirm the following has been completed in the Sharpen Portal under Admin > Configuration > Extensions for each extension you plan to provision:
MAC Address — Enter the device's MAC address on the extension page as an alphanumeric string only. Do not include colons. For example,
00:F3:62:B1:7A:03should be entered as00F362B17A03.Device Type and Device Group — Confirm both fields are designated and saved on the extension.
Public IP Whitelisting — Contact Sharpen Support to whitelist the public IPv4 address of your network to allow a successful provisioning connection.
Note: If your ISP changes your public IP address, the phone may fail to connect on its next reboot. Contact Sharpen Support to update the whitelisted address if this occurs.
Provisioning Server Addresses
Use the provisioning server address that corresponds to your Sharpen environment:

Supported Firmware
Supported firmware versions: 4.0 through 5.9
If the phone's firmware is not within this range, complete the firmware update steps in the Updating Firmware section below before proceeding with provisioning.
Method 1: Provisioning via Web Interface
Open a web browser and navigate to the phone's IP address (e.g.,
http://10.0.5.48).Log in with the Admin profile. Try password
456first, then6311if that does not work.Navigate to Settings > Provisioning Server.
Configure the following fields:
Server Type: HTTP
Server Address: Enter the address for your environment from the table above.
Server User: Leave blank
Server Password: Leave blank
Expand the DHCP Menu.
Leave Boot Server set to Custom+Opt66. The Server Address field entered above will be used for provisioning. If your environment uses DHCP Options instead, configure the DHCP option to point to the appropriate provisioning address for your isolation zone using HTTP.
Save the settings and allow the phone to reboot and provision.
Method 2: Provisioning from the Phone
Standard Setup (Setup Button Visible)
Boot the phone and wait for it to reach the main display.
Press Menu > Settings > Advanced.
Enter the admin password (
456, or try6311).Select Admin Settings > Reset to Defaults > Reset to Factory.
After the reset completes, power the phone off, then back on.
When the Setup button appears on the screen, press it.
Enter the admin password and press OK.
Scroll down to Server Menu and press Select.
Configure the following:
Server Type: HTTP
Server Address: Enter the address for your environment from the table above.
Server User: Leave blank
Server Password: Leave blank
Navigate to Settings > Provisioning Server > DHCP Menu and configure DHCP options if applicable.
Press Exit, then Exit again, and select Save & Reboot when prompted.
Wait for the phone to complete booting and provisioning.
Alternative Setup (No Setup Button)
If the Setup button does not appear on the screen after booting:
From the main display, press Menu > Settings > Advanced.
Enter the admin password (
456, or try6311).Select Admin Settings > Network Configuration > Prov. Server.
Configure the following:
Server Type: HTTP
Server Address: Enter the address for your environment from the table above.
Server User: Leave blank
Server Password: Leave blank
Press Back, then select Save & Confirm when prompted.
Wait for the phone to finish booting and provisioning.
Updating Firmware
If the phone's firmware is not within the supported range (4.0–5.9), follow these steps to update it before provisioning.
Boot the phone and press the Setup button when it appears.
Enter the admin password and press OK.
Scroll to Server Menu and press Select.
Configure the following:
Server Type: FTP
Server Address: Enter the address for your environment from the table above.
Server User:

Press Exit, then Exit again, and select Save & Reboot when prompted.
The phone will display a boot countdown and then begin the firmware upgrade process. Do not interrupt the phone during this time.
Once the firmware update is complete, the phone will reboot automatically.
Perform a full factory reset before proceeding with provisioning.
Re-Provisioning from Another Provider
If the phone was previously configured with another VoIP provider, a full factory reset is required before provisioning with Sharpen. If a standard factory reset is not possible, use the following key combination method to force a reset:
Note the MAC address of the phone (e.g.,
0004F2XXXXXX).Remove power from the phone.
While the phone is powering back on, press and hold the following key combination for your model:

Continue holding the keys until prompted to enter the admin password.
Enter the MAC address of the phone in lowercase letters as the password. To switch to alpha mode:
VVX Series: Press Mode to switch to alpha mode.
IP Series: Press the 1/A/a option to switch to alpha mode.
All models: Press # to toggle alpha mode.
Once access is granted, the default admin password will be
6311. Proceed with the provisioning steps above.
